Objective

Build a shared content-production system that keeps newsletters and social media running on a consistent schedule. The focus was on replacing informal workarounds and conflicting expectations with a workflow the team could actually use together.

Scope

Led process design, cross-functional coordination, and full system implementation. This included diagnosing where things were breaking down and building the tools and workflows the team uses today.

How I Diagnosed the Problem

I used lessons learned, team working sessions, and individual conversations to identify where the existing process was breaking down. The goal was to replace informal workarounds and conflicting expectations with a workflow the team could use together.

Lessons Learned

Reviewed what wasn't working and why

1:1 Conversations

Surfaced individual pain points and workarounds

Team Working Sessions

Mapped the process gaps together

Shared Workflow

Built a system around what the team actually needed

What I Built

Content Priority Framework

A shared framework for posts, newsletters, and video or miscellaneous content.

Clear Ownership and Handoffs

Defined roles across leadership, content, design, review, and scheduling.

Draft Standards

Working-draft and final-draft standards so review cycles had a clear starting point.

Master Schedule

Covers events, solicitations, and deadlines of interest.

Publishing Cadence

A finalization deadline for the following week's content, set on a recurring schedule.

Reference Sheets

Source information organized so it's easier to find and reuse.

Connected Workflows

Leadership calendar, Metricool, Slack, Mailchimp, and shared tracking documents working together.

Embedding and Evolving the System

I continue to oversee and refine the workflow as new needs emerge. After establishing the core procedure, I created additional reference materials to make content development faster and more consistent. I also redefined the company's SMPV, giving content creation a clearer audience and message direction.
